Terms and Conditions

These Terms and Conditions ("Terms") govern use of the Sentinar Labs website and the general terms under which Sentinar Labs LLC ("Sentinar," "we," "us," or "our") offers consultations, website design and development, maintenance, and managed website support. By using this website, you agree to these Terms. A client engagement is also governed by the proposal, Project Summary, service agreement, invoice, and policies applicable to that engagement.

1. Business Information

Services are provided by Sentinar Labs LLC, a Wisconsin limited liability company. Our mailing address is 2800 E. Enterprise Ave, Ste 333, Appleton, WI 54913. You may contact us at contact@sentinarlabs.com or +1 (608) 318-3887.

2. Eligibility and Authority

You must be legally able to enter into a binding agreement to purchase services. If you act for a business or other organization, you represent that you have authority to bind that organization.

3. Services, Estimates, and Scope

Website descriptions and starting prices are general information, not a binding offer or fixed quote. The scope, deliverables, timeline, fees, milestones, revision allowances, and exclusions for a project are stated in its written proposal or Project Summary. Work not expressly included is outside scope and may require a written change order with additional fees and timeline adjustments.

4. Agreement Documents and Order of Control

If you sign a service agreement, that agreement and its incorporated documents govern the engagement. If these website Terms conflict with a signed service agreement, Project Summary, or written change order, the signed service agreement controls, followed by the Project Summary or change order, and then the applicable website policies. These Terms do not replace a project-specific written agreement.

5. Project Approval and Payment Flow

  1. We confirm the proposed scope, price, timeline, and payment schedule in writing.
  2. The Client approves the applicable Project Summary and service agreement.
  3. The Client supplies any startup materials and access required to begin, or we confirm that none are required.
  4. Once the project is ready to begin, we confirm the scheduled commencement date and issue an invoice for a 25% initial project payment unless the approved documents state a different amount. Payment is required before commencement.
  5. Work begins on the confirmed commencement date, normally the same business day or next business day after payment is confirmed. If payment is not received in time, the commencement date may be rescheduled. If we cannot begin by the confirmed commencement date after receiving payment, the Client may cancel and receive a full refund of the initial project payment.
  6. Remaining project fees are invoiced according to the milestones or dates stated in the Project Summary.
  7. Final deliverables are released after Client approval and payment of all outstanding amounts.
  8. A payment receipt records the amount received, related invoice, payment status, and any remaining balance.

6. Invoices and Payment Methods

Invoices are due upon receipt unless a different due date appears in the Project Summary or invoice. Card payments are accepted through hosted payment links or electronic invoices provided by our payment processor. This website does not directly collect or store card information. Clients are responsible for reviewing invoice details and identifying the applicable invoice number when requested.

7. Service-Specific Terms

The terms below establish general rules for each service category. The specific inclusions, exclusions, deliverables, timing, and fees for an engagement are stated in the applicable proposal, Project Summary, plan summary, or service agreement. Variable service details are not established by these general Terms unless expressly stated below.

7.1 Consultations

Consultations are typically scheduled for 1 hour but may be booked for a different duration. A consultation may continue beyond its scheduled end time when the Client agrees and scheduling permits. Consultations are billed at $100 per hour after completion based on the actual time spent, measured to the minute rather than rounded to a larger billing increment. Sentinar will issue an itemized invoice showing the consultation duration, and payment is due upon receipt. The consultation includes the scheduled meeting and the professional guidance provided during that meeting. Written deliverables, design, development, implementation, and additional follow-up are not included unless separately agreed.

Clients who cannot attend may contact Sentinar to reschedule at no additional charge. Sentinar does not charge consultation cancellation or no-show fees. If a Client arrives late, Sentinar will make reasonable efforts to use the remaining scheduled time or arrange another appointment.

7.2 Project-Based Services

Website design and development are project-based services billed as a one-time project fee or through an approved milestone schedule. Public prices are starting prices only. The applicable proposal or Project Summary identifies the minimum inclusions, exclusions, deliverables, revision allowance, project price, initial project payment, milestones, and anticipated timeline. Only items expressly included in those documents form part of the project scope.

7.3 Monthly Services

Maintenance Plans and Managed Website Support are ongoing monthly services governed by the applicable plan summary and our Monthly Service Plan Terms. Those documents identify the included services, exclusions, monthly allowance, response standard, recurring amount, billing date, and cancellation method.

7.4 Additional and Out-of-Scope Work

Work outside the documented scope or active plan requires a written estimate, change order, or other written description of the additional work, price, and any effect on timing. Sentinar will obtain the Client's affirmative approval before beginning or billing for that additional work.

8. Initial Payments, Refunds, and Returns

Initial project payments are requested only after a project is ready to begin. Once work begins on the confirmed commencement date, initial project payments and approved milestone payments are non-refundable as described in our Refund Policy, except where required by law. We provide custom digital services and do not sell or ship physical goods. Digital deliverables cannot be physically returned or exchanged. See our Return Policy for details.

9. Client Responsibilities

The Client agrees to:

  • Provide accurate, complete, and timely content, assets, credentials, feedback, and approvals.
  • Obtain all rights and permissions required for Client-provided text, images, logos, video, data, and other materials.
  • Review communications and deliverables within the agreed review window.
  • Maintain required third-party accounts, subscriptions, licenses, and hosting in good standing.
  • Use delivered work lawfully and avoid supplying unlawful, infringing, or harmful material.

10. Timelines, Reviews, and Revisions

Timelines are estimates and depend on timely Client materials, access, feedback, and approvals. Client-caused delays may extend delivery dates. The Client must review milestone deliverables within the period stated in the Project Summary, or within five business days if no period is stated. Sentinar will deliver each milestone electronically and retain a record of delivery. If the Client does not respond within the review period, Sentinar will send at least one written reminder and provide an additional three business days to respond. Silence does not constitute approval for milestone billing. Until written or electronically recorded approval is received, Sentinar may pause further work and adjust the project timeline. Milestone invoices are issued only after the Client affirmatively approves the applicable milestone, unless the signed Project Summary expressly establishes an advance-payment schedule. Included revision rounds are stated in the Project Summary; additional or out-of-scope revisions require written approval and may incur additional fees.

11. Delivery and Acceptance

All deliverables are provided electronically by email, cloud storage, secure access link, account access, or another method stated in the Project Summary. Delivery timing and final release conditions are described in our Delivery Policy. Concerns about incomplete, defective, or incorrectly delivered work should be reported promptly so they can be reviewed against the approved scope and revision allowance.

12. Ownership and Third-Party Materials

Upon full payment, the Client owns the final website deliverables created specifically by Sentinar for that Client, except for third-party materials and any items otherwise identified in the project documents. Plugins, themes, fonts, stock assets, platforms, hosting, and other third-party tools remain subject to their own licenses and fees. The Client is responsible for those licenses and fees unless the Project Summary states otherwise.

13. Portfolio Use

We may display completed work in our portfolio and marketing materials unless the Client requests a written nondisclosure exception before the project begins or the signed agreement states otherwise.

14. Confidentiality

Each party may receive confidential information from the other. Each party agrees to use that information only for the engagement and to take reasonable steps to prevent unauthorized disclosure, except where disclosure is authorized or required by law.

15. Third-Party Services and Website Links

We are not responsible for outages, changes, pricing, security incidents, or other acts of third-party platforms, hosts, payment processors, plugins, integrations, or service providers. Links to third-party websites are provided for convenience and do not imply control or endorsement of their content or practices.

E-commerce payment integrations. For e-commerce projects, the Client maintains its own account with its chosen third-party payment provider and remains the merchant of record for all sales made through the Client's website. Sentinar may design, configure, or connect the checkout experience to the Client's payment-provider account, but Sentinar does not process payments on the Client's behalf or receive, hold, route, control, or settle the Client's customer funds. The Client is responsible for its customer transactions, refunds, disputes, taxes, fulfillment, payment-provider fees, and compliance with the provider's terms.

16. Termination

Either party may terminate a project as provided in the applicable service agreement. The Client remains responsible for authorized work completed through the termination date, including completed milestones. We will provide completed and paid deliverables in accordance with the applicable agreement and Delivery Policy. Any refund is governed by the Refund Policy.

17. Disclaimer and Limitation of Liability

We do not guarantee specific business, search-ranking, sales, traffic, or revenue results unless expressly stated in a signed agreement. To the maximum extent permitted by law, Sentinar is not liable for indirect, incidental, special, consequential, or punitive damages arising from the services or delivered website. We are not responsible for issues caused by third-party services, hosting providers, Client-supplied materials, or Client or third-party changes made after handoff. Nothing in these Terms excludes liability that cannot legally be excluded.

18. Governing Law and Venue

These Terms are governed by the laws of the State of Wisconsin, without regard to conflict-of-law principles. Unless applicable law requires otherwise, disputes will be brought in an appropriate state or federal court located in Wisconsin.

19. Changes to These Terms

We may update these Terms as our services or practices change. Updated Terms will be posted on this page with a revised "Last updated" date. Changes do not alter a previously signed service agreement unless the parties agree in writing.

Monthly Service Plan Terms

These Monthly Service Plan Terms apply specifically to recurring Maintenance Plans and Managed Website Support provided by Sentinar Labs LLC. They supplement the general Terms and Conditions and are presented separately so that Clients can clearly review the services, recurring billing terms, and cancellation method before enrolling.

1. Maintenance Plan

Maintenance Plans begin at $200 per month. The base plan includes basic uptime and security monitoring plus up to 1 hour of hands-on service during each monthly billing period for routine CMS, theme, and plugin updates where applicable, backup verification, technical upkeep, or minor website updates. Included time is limited to the current billing period and does not roll over.

2. Managed Website Support

Managed Website Support begins at $300 per month. The base plan includes everything in the Maintenance Plan plus up to 1 additional hour during each monthly billing period for website review, improvement planning, practical guidance, or minor website improvements. The total included hands-on service allowance is up to 2 hours per billing period. Included time is limited to the current billing period and does not roll over.

3. Requests and Response Standard

Plan requests may be submitted by email. Sentinar will acknowledge a request within 2 business days. Acknowledgement is not a guarantee that the requested work will be completed within that period. Completion timing depends on the request's scope, required Client access or materials, third-party systems, and current scheduling. The plans do not include guaranteed emergency or after-hours response unless a written plan summary expressly states otherwise.

4. Exclusions

Unless expressly included in a written plan summary, monthly plans do not include new pages or major page rebuilds, website redesigns, custom features or integrations, large content-entry projects, branding, copywriting, photography, video, third-party subscriptions or license fees, emergency or after-hours support, or work exceeding the included monthly service allowance.

5. Billing and Recurring Authorization

Monthly plans are invoiced in advance on the calendar day corresponding to the service start date, or on the final day of a shorter month when that calendar date does not occur. The applicable plan summary or enrollment confirmation states the exact recurring amount, service start date, and billing date. Automatic card charges occur only when the Client separately authorizes recurring payments. Sentinar will provide electronic confirmation of the plan and its payment terms.

Any increase to the recurring amount or material change to the plan scope will be disclosed before it takes effect. Sentinar will not automatically charge an increased recurring amount without the Client's affirmative authorization.

6. Cancellation

A Client may cancel by emailing contact@sentinarlabs.com before the next billing date. A timely cancellation prevents the next monthly charge. Sentinar will confirm the cancellation and its effective date by email. Cancellation takes effect at the end of the current paid billing period, and service continues through that date. Fees for the current period are not prorated or refunded, except where required by law. Cancellation does not eliminate amounts already due for authorized services.

7. Additional Work

Work outside a plan's included services or monthly allowance requires a written estimate, change order, or other written description of the additional work and price. Sentinar will obtain the Client's affirmative approval before beginning or billing for that additional work. Additional work does not increase the recurring plan amount unless the Client separately approves the revised recurring amount.

8. Plan Summaries

A plan summary or written agreement may add services, increase the monthly allowance, or establish service-specific conditions. It does not reduce the minimum inclusions stated above for a plan sold under the Maintenance Plan or Managed Website Support name. If a Client needs a materially different arrangement, Sentinar will identify it as a custom service rather than one of these standard plans.

Privacy Policy

1. Overview

Sentinar Labs LLC ("Sentinar Labs," "we," "us," or "our") is a digital studio. This website showcases our consultation, business website, e-commerce, maintenance, and managed website support services and allows potential clients to contact us. We respect your privacy and aim to be transparent about how information is handled.

2. Information We Collect

We do not collect personal information through website forms, accounts, or online payments. This means:

  • There are no account registrations.
  • There are no contact forms that store submitted data.
  • There are no online payments processed through this website.
  • We do not set first-party cookies or use analytics or advertising trackers.

We use AI-assisted design and development tools to help plan, create, review, and improve project work. When necessary to provide an agreed service, project information may be processed by approved third-party technology providers. We limit the information shared to what is reasonably needed for the work and do not intentionally submit sensitive personal information unless the Client has authorized it for a specific purpose.

6. Sharing of Information

We do not share your personal information with third parties except when necessary to:

  • Comply with legal obligations
  • Protect our rights, safety, and property
  • Support service delivery (for example, if a project requires third-party tools you approve)

7. Data Retention

We keep personal information you provide through direct communication only for as long as necessary to:

  • Respond to your request
  • Provide services you request
  • Maintain reasonable business records

You may request that we delete your information at any time, subject to legal or accounting requirements.

8. Your Rights

Depending on your location, you may have rights to:

  • Request access to the information you provided
  • Request correction of inaccurate information
  • Request deletion of your information

9. Third-Party Services and Links

Our website uses externally hosted resources, including Google Fonts, and may link to third-party platforms when those links are enabled. 1. Do We Use Cookies?

Sentinar Labs does not currently set first-party cookies or use analytics or advertising trackers on this website.

Refund Policy

Sentinar Labs LLC ("Designer") provides consultation, business website, e-commerce website, maintenance, and managed website support services. Due to the project-specific nature of our work and the allocation of time and resources, refunds are governed by the terms below.

1. Initial Project Payments

Sentinar requests the initial project payment only after the project scope is approved and the startup materials and access required from the Client have been received, or Sentinar confirms that none are required. Sentinar will then confirm the scheduled commencement date and issue an invoice for the initial project payment. Work normally begins the same business day or next business day after payment is confirmed.

If the Client cancels before the confirmed commencement date, or Sentinar cannot begin by that date after receiving payment, the initial project payment will be refunded to the original payment method. Once Sentinar begins the first project-specific task on the confirmed commencement date, the initial project payment becomes non-refundable, except where required by law. Other payment terms are stated in the applicable proposal, Project Summary, invoice, or service agreement.

2. Milestone-Based Payments

Business and e-commerce website projects may be divided into phases or milestones (for example: planning, design, development, launch). Milestone payments are invoiced after milestones are completed and affirmatively approved by the Client, unless the signed Project Summary expressly establishes an advance-payment schedule.

Once a milestone is completed, affirmatively approved, and invoiced, the payment for that milestone is non-refundable.

3. Cancellation

Client may cancel a project at any time by providing written notice. If cancellation occurs before the confirmed commencement date, the initial project payment will be refunded to the original payment method. Once work begins, the initial project payment is non-refundable, except where required by law. If cancellation occurs before the current milestone is completed, Client will not be billed for the unfinished milestone beyond any non-refundable initial project payment already paid. Payment remains due for all previously completed milestones.

If a milestone has been completed, payment for that milestone remains due and non-refundable.

4. Satisfaction and Revisions

Designer does not issue refunds for completed work. However, we are committed to client satisfaction and will make reasonable efforts to address concerns through revisions that fall within the original scope and revision allowances stated in the Project Summary.

5. Scope Changes / Change Orders

Requests that go beyond the original scope require a written change order with revised pricing and timelines. Approved change orders are non-refundable once work begins on the added scope.

6. Refund Requests and Processing Times

Refund requests must be submitted in writing to contact@sentinarlabs.com and should include the Client's name, invoice number, payment date, amount paid, and reason for the request.

We will acknowledge a refund request within 2 business days. A written determination will normally be provided within 5 business days after we receive all information reasonably required to review the request.

If a refund is approved, we will submit it to the original payment method within 3 business days after approval and provide confirmation to the Client. After submission, the payment provider or card issuer may require an additional 5 to 10 business days to post the credit. These posting times are controlled by the applicable financial institution and are outside our control.

If an approved refund has not appeared within 10 business days after confirmation, the Client should contact us so that we can provide available transaction reference information and investigate the refund's status.

Return Policy

Sentinar Labs LLC provides custom digital services and does not sell or ship physical goods. As a result, physical returns and exchanges are not applicable.

Website files, design assets, consultation services, maintenance services, Managed Website Support, and other digital deliverables cannot be returned after delivery. Concerns about incomplete, defective, or incorrectly delivered work will be reviewed according to the applicable Project Summary, service agreement, and included revision terms.

Delivery Policy

Sentinar Labs LLC ("Designer") provides digital services only. No physical goods are shipped. This Delivery Policy explains how and when project deliverables are provided.

1. Delivery Method

Deliverables (including website files, access credentials, design assets, and documentation) are delivered electronically via email and/or cloud storage or secure access links.

2. Delivery Timeline

Timelines depend on project scope. Starter websites usually take 2–3 weeks, while business and e-commerce websites may take 4–6 weeks. Delays in receiving Client content, feedback, access, or approvals may extend the timeline. The timeline stated in the applicable proposal or Project Summary controls if it differs from this general estimate.

Consultation timing is confirmed when scheduled. Maintenance and Managed Website Support are provided on the schedule and terms stated in the applicable plan or written agreement.

3. Milestone Updates

Designer will provide milestone updates electronically throughout the project and retain a record of delivery. Client agrees to review and approve milestone deliverables within the review window stated in the Project Summary (or within 5 business days if not specified). If Client does not respond within that period, Designer will send at least one written reminder and provide an additional 3 business days to respond. Silence does not constitute milestone approval or authorization for billing. Designer may pause further work and adjust the project timeline until written or electronically recorded approval is received.

4. Final Delivery and Release Conditions

Final deliverables are released upon (a) Client approval of final work and (b) receipt of all outstanding payments. If hosting or third-party services are required, Client must maintain those accounts in good standing for the site to remain accessible.

5. Post-Delivery Support

Post-launch support, maintenance, training, and updates are included only when stated in the Project Summary or covered by an active Maintenance Plan, Managed Website Support plan, or separate written agreement.
